Community Guidelines
- How do I make/ setup payments on Appfolio?
First, Login in to Appfolio with your username and password at the following link: AppFolio.
On the left hand side of your screen, you will see a menu with several options. Select the option that says “Payments”. Finally, select the blue “Make a Payment” button to make a one time payment, or the white “Set up Autopay” button to setup automatic/schedule payments.
(*If you do not yet have an account, click the “Appfolio” link, then select the second option under the blue “Sign In” button that says “Need to set up an account?”. After selecting this option, input your information & click the blue button that says “Request Access”. Following this, after you are approved, you will receive an email to set your account information and sign in.*)
- Do we have to use Appfolio for payments? Can I still send a check to the HOA?
No! Paper checks can still be sent to the HOA. To help keep administrative costs low we encourage automatic payments via eCheck in Appfolio on the 1st day of each month.
- Who mows our lawns?
Townhouse and common area lawns are mowed by our landscape contractor. Single family residences and duplexes are responsible for mowing and maintaining their own lawns.
- When does irrigation start?
Irrigation starts in the Spring, around the 2nd-4th week of April and ends in early to mid October before the first frost.
- How do I get a Clubhouse keycard?
Reach out to the HOA and/or fill out the “New Tenant/Owner Contact Info” form. The cost for a new or replacement key card is $25.00. Please return keycards to the Board when moving out.
- How do I reserve the Clubhouse for a private event?
To reserve the Clubhouse for a private event, read through the “Clubhouse Reservation Agreement” section of the H.O.A website (brookwillowvillagehoa.com) and fill out the form. To navigate to this page, on the website, hover your mouse over the “Our Clubhouse” tab of the brown menu towards the top of the page. From the dropdown menu, select “Clubhouse Reservation Agreement”.
- What happens if I’m late on assessment payments?
The Board of Directors have updated the community policy on past due assessments. Late fees and interest charges, repayment plans, terms and conditions have all been brought up to date with current Colorado law. Please review the “Assessment Collection Policy” posted on the “Information” page.
- What are the maintenance responsibilities of a homeowner V.S the HOA?
The HOA is responsible for maintaining the common elements of the community that are defined as “general common elements” and “limited common elements”.
Townhome owners are responsible for maintaining their townhouse unit, including the unit’s air-space or HVAC equipment, garage door, front door and windows. In prior years, the HOA was in the practice of maintaining the unit’s exterior roof, siding, soffit, facia and gutters. Recently, the HOA Board learned that our community’s Covenants, Conditions and Restrictions do not give the HOA responsibility to maintain or insure the units. Driveways, lawns and patio areas of townhouses are considered “limited Common elements”, the HOA will continue maintaining driveways, lawns and patios.
